Available Positions:

Associate Editor (1 position): Supports the Editor-in-Chief and Section Editors, oversees the editorial workflow, and ensures the quality of publications.

Section Editors (5 positions): Manage articles, select reviewers, and monitor the review process.

Integrity Editor (1 position): Identifies AI-generated references.

Layout and Publication (3 positions): Formatting articles and updating metadata in OJS.

Indexing (3 positions): Updates and manages indexes to increase the journal’s visibility.

Technology (3 positions): XML, adoption of new technological trends in the publishing industry. 

Communication (3 positions): Manages social media, events, and multimedia content production.

General requirements:

  • Experience in the relevant field.
  • Knowledge of the OJS system and best editorial practices.
  • Organization, effective communication, and teamwork.
  • Minimum availability of 4 to 8 hours per week (depending on the role).

General description of activities:

Associate Editor (1 position)

  • Assists the Executive Editors in managing the journal and organizing the editorial workflow.
  • Oversees general management of the operational teams (editorial workflow, technical, and communications).
  • Replaces the Executive Editors in the event of absence or heavy workload.
  • Performs the final review of articles, verifies that metadata has been updated, and uploads PDFs to the system;
  • Seeks assistance from the University of Pittsburgh for any issues with OJS

Requirements

Minimum of 2 years of experience in editorial management or scientific journals.

Knowledge of best practices in peer review and ethics in scientific publishing.

Experience with the Open Journal Systems (OJS) platform.

Strong organizational skills, effective communication, and ability to work in a team.

Minimum availability of 8 hours per week.

Section Editors (scientific) (5 people)

  • Review articles and decide whether an article is ready to proceed to the evaluation stage.
  • Make strategic decisions and organize the editorial workflow.
  • Monitor compliance with deadlines and the performance of section editors.
  • They resolve problems and ensure the quality of the editorial process.
  • They represent the journal before institutions and indexing services.
  • They manage articles within their subject areas.
  • They select reviewers and monitor the peer review process.
  • They maintain contact with authors to ensure revisions and improvements to the texts.
  • They ensure that articles meet the journal’s standards prior to layout.
  • Experience with OJS.

Available for 8 hours per week.

Editor of Academic Integrity and Quality (1 position)

  • Identifies references generated by artificial intelligence (“Frankenstein”)

Available for 6 hours per week.

Layout and Publication Team (3 people)

  • Formats articles for publication in accordance with the journal’s guidelines.
  • Handles the final layout and conversion to different formats (PDF, HTML).
  • Updates metadata in OJS
  • Ensures the final version is published correctly on the platform.
  • A completed or ongoing degree in Library Science is preferred.

8 hours per week available.

Indexing Team (3 people)

  • Update the journal’s data in indexing services;
  • Prepare indexing requests for databases, directories, and other information sources.
  • Monitor indexing requirements and propose improvements to increase the journal’s visibility.

Available for 5 hours per week.

Communications Team (3 people)

  • Image, audio, and video editing to assist the Communications Team.
  • Assistance with managing social media, magazine events, and video conferences.
  • Previous experience required—a degree in Mass Communication is preferred (but not required).

Availability of 5 hours per week.

Week 5 - Interviews and Final Evaluation (June 8–9)

Invitation of preselected candidates for interviews.

Selection of successful candidates for each position.

Week 6 - Communication of Results (June 11)

Sending notifications to those selected.

Public announcement of the new members of the editorial team.

Week 7 - Onboarding (June 16)

Welcome meeting with the new editors and the journal’s team.

General training according to work groups.
